Writing an Adjustable Frame RFQ That Gets Comparable Quotes

By Kang Cai Smart Sleep · Published · Updated

Kang Cai product showroom with adjustable bed range for B2B buyers

A well-prepared RFQ (Request for Quotation) is the fastest path to accurate, comparable pricing from adjustable bed manufacturers. Vague RFQs generate vague quotes — and quotes that cannot be compared across suppliers. This guide covers what to include, what to skip, and what mistakes to avoid.

Product Specification

The more specific your product specification, the more accurate your quote will be. Include:

  • Model reference: If you have identified a specific model (e.g., Kang Cai KD010-A2), reference it directly. If you are describing requirements without a model, list the functions required.
  • Size: Specify the mattress size(s) you need — Twin, Full, Queen, King, California King, Split King, or custom dimensions. State whether you need multiple sizes in the same order.
  • Adjustment zones: Two-zone (head + foot) is standard. Specify if you need three, four, or five zones.
  • Motor: Standard or OKIN (if applicable). Specify if you have a motor preference or leave it to the supplier to recommend.
  • Control type: Wired remote, wireless RF remote, Bluetooth app, Wi-Fi, or combination.
  • Presets required: Zero-gravity, flat, custom memory, anti-snore.
  • Additional features: USB ports, massage/vibration, under-bed lighting.
  • Destination market electrical: Plug type (EU, UK, US, AU) and voltage (110V/220V).

Branding and Packaging

  • OEM branding: yes/no, and what needs to be branded (product label, remote, packaging, manual)
  • Packaging type: standard export carton, custom printed carton, or retail packaging
  • Language requirements for instructions and labels

Quantity and Delivery

  • Estimated order quantity (initial order and expected annual volume)
  • Required delivery destination (port or warehouse)
  • Required delivery date or lead time expectation
  • Incoterms preference (FOB, CIF, EXW, etc.)

Compliance Requirements

  • List any required test certifications for your destination market
  • Specify any material documentation requirements

Common RFQ Mistakes

  • No quantity estimate: Suppliers cannot price accurately without quantity context. Even a rough range (50–200 pcs) is better than nothing.
  • Too many options in one RFQ: Requesting prices for five sizes, three motor options, and four control types produces a confusing quote matrix. Narrow down to your most likely configuration and ask for variations separately.
  • No destination market information: Plug, voltage, and compliance requirements affect cost and lead time. Always specify your destination market.
  • Missing timeline: Without a delivery requirement, suppliers have no reason to flag capacity or lead time constraints upfront.

When you contact Kang Cai, include as much of the above as you have available. Our team will fill in any gaps during the quotation process — but the more information you provide upfront, the faster we can respond with accurate pricing.
